Order to Cash – Associate / Analyst
POSITION PURPOSE
A brief summary of the purpose this position must fulfill.
This position is responsible for ensuring that outstanding customer invoices are collected on timely basis as per agreed SLA and also work on deductions management. They often help coordinate collections calls and also work with customers to make repayments happen. They also assist in collecting pertinent documentation in regard to disputes and unpaid statements, helping to determine both creditworthiness and acting as a middleman between providers and customers. Works closely with internal and external customers, Sales, Sales Operations, Customer Relations and Finance Departments on a regular basis on matters that require reconciliations with customers.

- Ensure all assigned duties are performed within the guidelines of Viatris internal controls, policies, and procedures.
- Develop a solid understanding of customer policies and procedures relation to collections. Develop and maintain an effective working relationship with customer contacts, Customer Service, Pricing & Contracts, and National Account Managers to provide a team approach to customer issue resolution.
- Possess first rate collaborative skills to lead and work in concert with diverse groups effectively
- Supporting the credit management team with customer credit history review in credit bureau and assign credit limits to new customer and also coordinate with sales and local finance to release any orders on credit hold
- Provide management summary on Sales and Collections data along with Cash forecast on periodic basis
- Reconcile customer accounts. Research and determine root causes of payment variances to eliminate continuing issues and complete the SAP coding
- Effectively interact with various key internal stakeholders, including presentation of customer account status. Prepare materials and participate in stakeholders review calls.
- Ensure month end processing and reconciliations are completed timely
- Participates in special projects as assigned and perform other duties as assigned

Discuss account resolution with internal parties
- Accelerate cash collections; reduce ageing and Days Sales Outstanding (DSO) and Weighted Average Days Paid Late (WADPL)
- Setting up process priorities and aligning with overall organization goals
- Exploring upstream/downstream improvement opportunities by working with sales executives and build long term solutions
Process adjustments/write off balances
- Building long term relationship to improve billing & collection lifecycle with clients
- Evaluating and communicating accounts receivable controllership risks with Finance, assessing the adequacy of existing controls and implementing new controls as needed
Submitting Credits Memo’s and Re-bills to correct the booking errors
Escalate appropriately when there is a breach of contractual terms during the Service period
- Initiating action and implementing collection procedures. Keeps credit and sales staff informed on the status of accounts, which might affect client relationships

Role Purpose
The AGM/DGM of ERP Commercial Operations serves as the architect for the Order to Cash (OTC) system and process landscape, ensuring global solution design and governance of the Viatris Global Template. Collaborating with project teams, team leaders, and client stakeholders to formulate comprehensive Customer Service and Commercial Operations offerings. Cultivating robust relationships with clients and earning the confidence of key advisors. Advocating for the adoption of SAP technology solutions through compelling business cases. Crafting and enhancing end-to-end SAP Core SD processes. Facilitating workshops to guide crucial design decisions, offering clear recommendations and best practices. Ensuring the alignment of technology initiatives with the overarching business strategy and objectives. Delivering expertise in optimizing Order to Cash processes, providing clients with leading practices in the field.
Key Responsibilities
System Architecture Oversight:
- Oversee the design of order-to-cash systems, recommending and implementing changes to enhance processes and performance.
- Analyze industry, technology, and market trends. Introduce new technologies/capabilities, communicate them effectively, and prepare the IT team for adoption, implementation, and production support.
Solution Design:
- Design the OTC module within the ERP system based on the gathered requirements.
- Configure the ERP system to support OTC processes, including order creation, order fulfillment, inventory management, pricing, and invoicing.
- Ensure the solution design aligns with industry best practices and the organization’s business goals.
- Evaluate the feasibility of potential solutions and recommend actions to IT and business colleagues.
- Design and architect SAP ECC Interfaces with partner systems using technologies like flat files, EDI, ALE, IDOC, and XML. Collaborate with partner system and middleware system teams to ensure smooth data exchange for business transactions.
- Facilitate and lead fit-gap analysis by engaging with business units and corporate systems team members for B2B, CRM, and E-Invoice solutions implementation.
OTC Workstream Leadership:
- Lead OTC workstreams across all regions, coordinating with the OTC team covering Sales, Pricing, Contracts, Rebates, Trade Compliance & Regulatory, and Reporting.
- Encourage innovative solutions and methods to continuously improve solution delivery.
- Support consistent and efficient integration approaches for mergers and acquisitions initiatives, leading the implementation for SAP and integrated applications.
Project Delivery:
- Manage deliverables for all phases of the project.
- Lead the implementation of the OTC module, ensuring a seamless transition from legacy systems to the new ERP environment.
- Monitor project progress and manage risks and issues that may arise during implementation.
- Maintain effective communication with stakeholders at all levels, providing regular updates on project status, challenges, and achievements.
- Provide KT to run team to ensure smooth ongoing support for end users, addressing any post-implementation issues or questions throughout Hypercare phase.
- Maintain comprehensive documentation of the OTC solution, including processes, configurations, and customizations.
- Mentor and train IT members and global teams to achieve group objectives.
Subject Matter & Technology Expertise:
- Experienced in all SD aspects, Enterprise Structure, Master data, Order Management, Pricing, Order Fulfillment, Logistics Execution etc.
- Expertise in Interfaces development using technologies like flat files, EDI, ALE, IDOC, and XML
- Strong experience in the Intercompany / Intracompany Process, Supply Chain HUB Process
- Demonstrate deep knowledge of the managed sub-functional area and solid knowledge of the overall departmental IT functions.
- Provide expert leadership and knowledge in applications and technologies.
- Demonstrate understanding of SAP Application Life Cycle Management, Solution Manager, and development methodologies, including business and process modeling.

Qualifications & Experience
- Bachelor’s Degree Required. Master’s Degree Preferred.
- Minimum 5 Years Expertise in Leading High Performing IT Teams
- 10 Years experience in Designing Global Supply Chain, Logistics Systems, Commercial Applications
- Minimum 3 SAP Full – Cycle Implementations including S/4

Qualification and Experience
- Knowledge of “pharmaceutical medicine” including clinical pharmacology, medical and paramedical sciences, medicine and medical statistics, and relevant Therapeutic Area/Products
- 2 years of Medical Writing experience
- 2 years of experience or background in working within the pharmaceutical industry, awareness of compliance issues and guidelines around medical communication
- Review of Promotional & Non-Promotional Materials
- Familiarity with epidemiological principles and concepts is desirable
- Working knowledge of tools such as OvidSP and other bibliographic databases such as Pubmed, Medline, Embase and Biosis
- Previous experience with software commonly used to conduct medical review of promotional materials is preferred
- Previous experience with software commonly used to present and analyze data and experience with searching academic databases. (Word, PowerPoint, Excel) is preferred
- Language skills: High fluency in written English and strong functional fluency in spoken English.

Job Experience:
• Minimum of a bachelor’s degree is required
